Hibiscus Coast Community RSA – Privacy Statement

The Hibiscus Coast Community RSA (“we”, “our”, “the Club”) is committed to protecting your privacy and handling your personal information in accordance with the Privacy Act 2020↗ and other applicable New Zealand privacy laws.

1. Collection of Personal Information

We may collect personal information from you when you:

  • Apply for or renew membership

  • Participate in Club activities, events, or adjunct clubs

  • Make bookings, reservations, or purchases

  • Communicate with us in person, by phone, email, or online

  • Use our facilities, website, or social media pages

The types of personal information we collect may include your name, contact details, date of birth, membership number, financial/payment details, and any other information required to provide services to you.

2. Purpose of Collection

We collect and use your personal information for purposes including:

  • Managing your membership and providing member services

  • Processing payments and donations

  • Organising Club activities, events, and communications

  • Meeting our legal, regulatory, and compliance obligations

  • Ensuring the security and safety of our members, staff, and facilities

  • Compliance with legal and regulatory obligations (e.g., DIA, Incorporated Societies, Charities Services)

  • Service providers engaged by the Club (e.g., IT, financial, or membership systems) who are bound by confidentiality obligations

  • Emergencies or situations where disclosure is required to protect health, safety, or security

We do not sell or rent personal information to third parties.

4. Storage and Security

We take all reasonable steps to keep your personal information secure, whether held in electronic or hard copy form. Access is restricted to authorised staff and officers of the Club, and we have safeguards in place to protect against unauthorised access, loss, misuse, or disclosure.

5. Access and Correction

You have the right to:

  • Request access to the personal information we hold about you

  • Request correction of any personal information that is inaccurate or incomplete

6. Retention of Information

We will only keep your personal information for as long as it is needed to fulfil the purposes for which it was collected or as required by law.

7. CCTV and Surveillance

For the safety and security of our members, staff, and premises, the Club may operate CCTV surveillance. Footage is used strictly for security and compliance purposes and may be shared with law enforcement where required.

8. Changes to This Statement

We may update this Privacy Statement from time to time to reflect changes in law or Club practices. The most current version will always be available at reception and on our website.
